This is a Special Meeting that the Board of Directors has elected to hold to discuss how to deal with two issues:
1. The lack of attendance at Beat The Heat produced a deficit. We need to decide what to do with that deficit.
2. We need to decide how to avoid this in the future. The Board asked them for 3 possible solutions to consider.
3. It has been said that the club always paid for the food portion. Will that continue?
The Board tasked Dave Devoucoux and Jon Bagwell with getting answers to the above two points. Their responses combine the two points for current and future action as follows:
1. No changes made. The club continues to pay for the group camping site up front and gets reimbursed as they always have. The current deficit is taken care of by the club and not the campers.
2. Change the event to a Member event. Each member make their own camping reservation and the campers find and pay their own way. This makes for a less enjoyable event.
3. Retain the event as is but add a cancellation policy where the campers will cancel the event and provide a refund to the club or keep the event and make up the difference themselves.
The campers have decided not to pay the difference to the club.
